Monday, November 2, 2009 Minutes McPherson called the meeting to order at 7:00 p.m. with 13 members present: Ray Berberian, John Bickers, Len Camarda, Tom Crawford, Anne Grace, Bobbi Hahn, Bob Hamel, Jane Hill, Norm Levy, Sansing McPherson, Dee Merian, Greg Smorol, and Charlie Thorn. Minutes were approved as submitted. Treasurer’s report gave a balance of $2,702.46. Sansing announced that Max Judge must resign as treasurer due to schedule conflicts. She asked each member to seriously consider the job, which is absolutely essential for our publishing activity. Anthology: Proofreading/publishing schedule: Jane Hill reported that authors have been very prompt in replying to her after she emailed manuscripts for them to proofread. Before we can order our first printing, we need to get 10 proof copies (the minimum run) from Catawba Publishing so we can see how the paper porosity affects photos so Jane can adjust graphics as needed. When that is done, we can order a first run of 250 copies. We should have these in hand by late November. Jane circulated a galley proof of the book. Sansing circulated a copy of the final cover. Publicity: Sansing reported she has contacted Hilton Head Monthly regarding December publicity but has not received an answer. She will get information to David Lauderdale for an article in the Island Packet. Dee Merian will contact WHHI and the local radio station. Every member was asked to investigate publicity through gated community newsletters and electronic communications. Len Camarda suggested we draft a uniform publicity blurb for members’ use as they contact various possible vendor outlets. Sansing will work on one. Marketing: Coastal Discovery Museum: Charlie Thorn circulated copies of a flyer of CDM’s Lowcountry Holiday Market on Fri. Dec. 4, from 10 to 2 at the Honey Horn location. We will have a table where we can sell and sign our books. Charlie will get specific information on what CDM expects to make on each sale, whether we must collect sales tax, and whether members may sell their own books. Members volunteered for either the 10 to 12 shift or the 12 to 2 shift. (List appended.) We will get a poster either at Staples or as part of a publicity package from Catawba Publishing. Catawba’s publicity package also includes postcards and bookmarks. Tom Crawford showed examples he got from Catawba when he published his Foibles book. Bobbi Hahn suggested we build an email contact list of our purchasers at the CDM event. Picture This Gallery Hop: We will participate in the Picture This Gallery Hop on Thurs., Jan. 21. Gallery owner Mira Scott wants us to expand attendance by inviting our friends and family. Others: Bobbi has spoken to Jump of Jump and Phil’s restaurant, who said we could stage a book sale/signing there. We would need to do our own publicity. The Linda Hartough Gallery has an event during the Heritage week that we can participate in as well. Greg Smorol will investigate Craig’s List. Sansing reported that Lori Getz researched the feasibility of being carried at Barnes and Noble and discovered that the Hilton Head B&N can only carry books approved by the national chain because its software is linked to the national B&N. Catawba Publishers in not in their system. Vendor outlets: Several members have already identified and/or contacted vendors for the anthology and gave contact information to Charlie Thorn. Greg Smorol – Pink House Gallery and possibly Lettrs on Main Street . Tom Crawford – Mingles at Coligny, Sun City and Tide Pointe. Len Camarda – Nash Gallery at Shelter Cove and Port Royal pro shop. John Bickers – Hilton Head Plantation . Tom Crawford will check Bay Street Traders in Beaufort. Sales Decisions: Our bar code does not have a scanned price on it. We will suggest a sales price of $14 and charge our vendors $10. Each contributing member will get one free copy; additional copies can be purchased for $8.50. Members’ publishing news: Anne Grace has just published her spiritual reflections, Drippings of the Honey Comb. Bobbi Hahn said our anthology sales have gone international as she has just pre-sold a copy to a friend in Japan . December meeting: The IWN Dec. 7 meeting will be a holiday party at 7:00 p.m. at the home of Sansing McPherson, 28 China Cockle Way in Hilton Head Plantation. Members may bring a spouse/friend and must RSVP via email to Sansing. IWN will purchase wine and soft drinks. Members are asked to bring hors d’oeuvres or dessert to share. She will need to get gate passes for anyone not living in HHP or Sea Pines, which has reciprocity with HHP.
